POSITION/JOB DESCRIPTION
ADMINISTRATIVE POSITION
Introduction:
This position performs general office duties as well as monthly attendance of after-hours Port meetings. The position maintains a friendly and professional relationship with the public and business contacts of the Port of Silverdale.
The position is located at the Port of Silverdale office, Old Town Silverdale.
Position Control:
This position reports directly to the Board of Commissioners of the Port of Silverdale.
Education/Experience
The position requires a high school diploma or GED. Applicants should be comfortable working with the public and have general clerical, computer and customer service skills.
Duties and Responsibilities:
1. General
Direct visitors, phone calls, messages, email, and mail accordingly
Attend meetings, take and prepare minutes
Generate and disburse agendas and agenda packets
Proofread correspondence
Update documents to website file
Prepare letters as needed
Update tenant files and spreadsheets
Enter boat information into database
Update the Small Works Roster
Prepare leases and coordinate with tenants
Communicate with Commissioners
Maintain Filing
2. Financial
Enter bills and payments into QuickBooks
Post and track tenant payments
Enter moorage fee payments into database
Prepare and make deposits
Update the County’s ‘Workday” system
Reconcile accounts with County
Alert tenants of past due rent
Prepare and mail delinquent moorage letters
Prepare checks
Prepare Voucher Approval
Prepare and send “Check Information” spreadsheet to County
Mail out payments
Prepare budget and necessary Resolutions
Prepare Budget vs. Actual report
Track contracts and payments
Various quarterly and end-of-year reports/tasks
3. Other
Archiving files
Light janitorial duties around the office
Essential Functions
To perform this job successfully, an individual must meet the qualifications and be able to perform and/or be willing to be trained to perform all of the duties described in the “duties and Responsibility” and the “Qualifications” sections of the job description.
Physical Requirements
The physical demands described below are representative of those that must be met by an employee to successfully perform the essential functions of this job.
+ While performing the duties of this job, the employee is required to sit 2 -3 hours at a time (at least 75% of the job is sitting)
+ This position requires the ability to juggle the workload and prioritize as needed while working at a high level of concentration and at times in a fast-paced stressful environment
+ This position requires walking, bending, stooping and occasionally lifting loads up to approximately 25 pounds
Job Qualifications/Requirements
+ A general knowledge of the functions and procedures of office operations
+ Superior customer service skills
+ Ability to verbally communicate effectively, including good listening skills
+ Good grammar and proofreading skills
+ Ability to take minutes
+ Ability to count money, give change and process checks
+ Ability to organize, prioritize and independently perform work assignments
+ Ability to multi-task
+ Ability to operate standard office equipment such as a computer, calculator, photocopier, scanner
and fax machine
+ A general understanding of Microsoft Office products such as: Word, Excel, Access, Outlook; as
well as Adobe Acrobat and QuickBooks Pro
+ Willingness to learn
